The incumbent ensures accurate sponsorship data, transparent communication, compliance with standards, sponsor satisfaction, RC availability, and balanced budgets to support program integrity and community development.

 

Key Responsibilities:

Reassuring, Confident and Reliable Communication between RCs/Sponsors and Constant Satisfaction of Partnership Standards.

  • Ensure the regularity, fidelity and reliability of the data of all children enrolled in the sponsorship program and maintain good communication (reliable and transparent) between the Children in the program and the Sponsors within the PZ under its management according to the time, quality and quantity factors defined in the sponsorship management standards.
  • Ensure that no child enrolled in the sponsorship program falls into the Multiple Sponsorship category with another organization; within the same PZ or with another PZ operating nearby.
  • Ensure the processing of all GNs for the benefit of RCs/Communities in strict compliance with finalization deadlines as well as compliance with amounts allocated to children and the community.
  • Maintain the RCs quota allocated to the PZ in balance and with a 2% reserve throughout the fiscal year and during the life of the PZ.

Sponsor satisfaction promotes their retention as well as the stability of resources for the implementation of development activities planned for the well-being of beneficiaries.

  • PZ always has RCs available for marketing and new donor acquisition.
  • Sponsors are satisfied. The national office receives a minimal number of complaints from the support offices/Sponsors. Each Sponsor is interested in the life of the sponsored child and contributes significantly to his/her development.
  • WV's integrity is assured and WV inspires confidence in donors and other partners.
  • Satisfaction of children enrolled in the program as well as the community who use the GNs received within the allotted time to meet immediate needs and/or carry out income-generating activities as well as micro-projects.
  • The PZ budget remains balanced throughout the fiscal year; the support office has RCs available for marketing in case of high demand from Sponsors.

Connection & Communication: Leap / Digitization of Correspondence and other Deliverables:

  • Ensure the digitalization of all correspondence (LeapFrog) to the GC and/or Support Office in compliance with quality standards while ensuring that the rejection rate does not exceed 3% of the required total.
  • Ensure that 100% of the data required for Auto-APRs is submitted by the PZ deadline.
  • Ensure that 100% of Greeting Cards and Child Expression Worksheets are completed and submitted to GC after a 100% successful quality review with no rejections in the first round.
  • Economy of scale on postal/DHL costs
  • Fast transmission of communication in Sponsors/Children in the program.
  • Quality assurance of the deliverable sent to Sponsors.
  • The promise made to donors is kept. All deliverables are sent on time according to the required quality. Donors are committed to supporting the program activities.

Engagement with Children/Sponsors and Community on Content 2.0

  • Ensure the production, successful quality review and 100% submission of 2.0 Content for Children enrolled in the program in strict compliance with the “Time, Quantity and Quality” Standards.
  • Ensure the production, successful quality review and 100% submission of Community 2.0 Content in strict compliance with “Time, Quantity and Quality” Standards.
  • Coordinate the engagement of Community Volunteers in fun activities to achieve sponsorship objectives.
  • The connection between RCs and Sponsors is strengthened. Sponsors feel the presence of the child in their lives and commit to supporting WV activities.
  • The complete satisfaction of the Sponsors enriches the experience of the Sponsors in their commitment to support the ministry of WV.
  • Children enrolled in the sponsorship program are part of their Sponsor's life and experience.
  • Sponsors become WV Ambassadors to their community, business and/or membership group.
  • Ensure the presence and participation of children registered in the sponsorship program.

Sponsorship Administration within the PZ: Management of the Query Management System (QMS).

  • Ensure the processing and management of cases of death of children enrolled in the program, their departure from the program as well as their definitive absence from the program in the provision of correct, verified and transparent information in accordance with the standards defined by the Partnership.
  • Ensure that all sponsored children in the PZ are updated.
  • The status of each child enrolled in the program is consistent with their status in the sponsorship management system.
  • Proceed with the reactivation of all Children registered in the program and on “Hold” within 3 months from the day of receipt of the notice
  • Generate on a monthly basis the list of all children registered in the program to ensure that none are in a double sponsorship situation, have the list validated by the Supervisor and take appropriate actions following the directives communicated by the Sponsorship Manager.
  • Coordinate and organize the “Birthday Bounceback” celebration to help make sponsorship fun, engaging and meaningful.
  • Provide supervision to the Sponsorship Development Facilitators so that they can implement plans for collecting information on sponsored children in the communities defined as PZ intervention areas.
  • The PZ is managed according to the Standard predefined by the Partnership.
  • Helping to make sponsorship attractive to children and the community.
  • Providing moments of joy for the children of the community.
  • The FD(s) update data relating to sponsored children in real time.
  • At least 3 years of experience in community development projects with international NGOs in the field of sponsorship. Experience in community work and with international donors. Experience working with children. Great ability to work under pressure. Great ability to work in a team. Proven experience in supervising multidisciplinary teams, Proactivity and creativity.
  • Diploma / Bachelor's / Master's degree in social sciences, or related field
  • Excellent communication, coaching and leadership skills
  • Proven skills in English, French and Creole
  • Good communication skills in Spanish (would be an asset)
  • Ability to work in a team and manage conflicts
  • Compliance with international policies on child protection
  • Great capacity for coordination, planning, supervision and management of staff
  • Team spirit and cultural diversity
  • Able to adapt to change and know how to manage stress and collaborate under high pressure.
  • Good knowledge of IT tools (Windows, Word, Excel, PowerPoint, database management)
  • Ability to meet deadlines and comply with standards
  • Proven experience in supervising multidisciplinary teams.
  • Demonstrate a passion for working with the most vulnerable children and communities.
  • Passion for traveling to hard-to-reach areas and working in a harsh environment
  • Regular travel to WVI intervention areas – Haiti
  • Participate in training workshops at the request of the supervisor.
