To receive and direct visitors, collect and sign for mail, as well as to provide information.

KEY RESPONSIBILITY AREAS

Technical and Professional Duties: 

  • Responds to customers courteously entering the office; 
  • Ascertains purpose of visit and advises officer, if necessary, after acquiring visitor’s full name; 
  • Directs customer to relevant office or invites him/her to sit if officer is not readily available; 
  • Provides basic information to visitors on request, distributes relevant forms and brochures/flyers and assists them to complete forms when requested; 
  • Receives and signs for incoming correspondence and packages, keeps records in Incoming Mail Book and dispatches upon receipt; 
  • Maintains a quiet and tidy work station, free from crowd, noise and unnecessary clutter; 
  • Supports the identification and management of risks within the organization and by extension the respective area of work; 
  • Performs any other related duties assigned by the Office Manager. 

 

PERFORMANCE STANDARDS

This job is satisfactorily performed when: 

  • Visitors are acknowledged within a minute of entering the office;
  • All mails and packages received are logged and distributed to the relevant persons within an hour of receipt; 
  • The relevant information is provided to visitors upon request; 
  • The reception area is kept quiet, tidy and free of clutter. 

 

AUTHORITY TO:

  • Refuse entry to the office of questionable characters. 

 

REQUIRED COMPETENCIES

Specific Knowledge 

  • Knowledge of the operations and functions of Tax Administration Jamaica;
  • Knowledge of the Department’s Code of Conduct. 

Required Skills and Specialised Techniques 

  • Very good communication and interpersonal skills; 
  • Good planning and organizing skills; 
  • Good time management and work ethics. 

Qualification and Experience 

  • Associate Degree in Business Administration or equivalent; 
  • Certificate in Customer Service;
  • One (1) year work-related experience. 

 

WORKING CONDITIONS

  • Normal office environment.
