The Manager, Warehousing & Inventory oversees warehouse operations, assigns tasks, develops policies and procedures, and manages the receipt, storage, and timely delivery of goods for non-pharmaceutical warehouses within the SWRHA.

 

Job Purpose

The Manager, Warehousing & Inventory is responsible for the planning, organizing and controlling of the over-all operations of the Warehouses within the SWRHA.

He/she organizes activities and assigns jobs accordingly to the staff. He/she also has to create policy and procedures to effectively manage the department and monitor and control the receipt, storage, retrieval and timely delivery of goods.

He/she is responsible for managing the non-pharmaceutical warehouses of the Authority

The Authority reserves the right to assign the officer to any Facility under its management.

 

The core functions include but not limited to the following:

  • Assists the General Manager, Supply Chain in determining the strategic goals for the unit and developing strategies to execute implement and achieve the established objectives.
  • Assists the General Manager, Supply Chain in the Disposal process in accordance with the relevant current public procurement legislation as would be amended from time to time (a copy of which must be kept in the department).
  • Plans all warehouse resources and activities in keeping with the Authority’s objectives.
  • Develops and prepares annual operating budget and ensures department operates within allocated funds.
  • Manages the operations of the Warehousing & Inventory functions including the reordering, receiving, storage, preservation, issue, distribution and control of goods (Stock/Non-Stock).
  • Manages inventory stock controls in accordance with the Supply Chain Policies and procedures, ensuring that stock control systems are up to date.
  • Conducts physical inventory counts (annual and perpetual) in cooperation with the Finance Department, investigating any discrepancies and making any recommendations for adjustments where necessary.
  • Maintains and issues inventory reports, entry and exit status reports, obsolete stock reports, goods aged reports, consumption reports and manpower status reports to the General Manager, Supply Chain.
  • Sets guidelines and standard operating procedures to ensure that the items purchased are of the same type and quantity received by the relevant Warehousing and Inventory staff.
  • Sets guidelines or standard operating procedures to ensure that all health and safety requirements in the warehouses are met.
  • Monitors and ensures that the warehouse buildings and stock of equipment within them are kept secure.
  • Sets guidelines or standard operating procedures to maintain good housekeeping of the warehouses and surrounding areas.
  • Implements measures of improvement and development of the warehouse operations.
  • Communicates with stakeholders any difficulties with equipment/inventory shortages or delivery schedules, in a timely manner to promote optimum cost efficiency.
  • Investigates and implements cost reduction measures in all aspects of warehouse transactions and activities.
  • Implements systems to monitor and ensure there are no wastage of stock within the Authority.
  • Implements systems to ensure that items approved for disposal are disposed of in an environmentally friendly manner.
  • Manages the fleet of vehicles assigned to warehouse operations ensuring compliance with the policies and procedures set by the Operations Department.
  • Supervises and motivates staff to a high level of performance; administers personnel and disciplinary actions and resolves grievances.
  • Develops teams by implementing team building strategies, providing training and guidance in collaboration with the Human Resources Department as needed.
  • Manages change to ensure the teams adopt a culture of continuous improvement.
  • Participates in preparing departmental personnel utilization plans.
  • Provides guidance and sensitizes accordingly all relevant stakeholders as to established organizational and departmental policies and procedures and the application thereof.
  • Establishes key performance indicators and metrics to measure and assess both departmental and staff performance in accordance with set department and individual deliverables.
  • Liaises with internal and external stakeholders to establish and build customer relationships and improve synergies.
  • Performs related work as required.

 

The core functions include but not limited to the following:

  • A First Degree in Business Management and fully certified in CIPS (Chartered Institute of Purchasing) Level 6 completed.
  • At least eight (8) years’ experience in the procurement and warehousing of goods and services and at least five (5) years’ experience at a Supervisory/Management level.
  • Must be experienced with automated systems.
