To assist in the general administration of the department and provide in-house support for Laboratory staff. To maintain an effective communication system with internal and external customers, to ensure efficient delivery of service.

 

 

 

Major Duties and Responsibilities:

  • Answering the telephone, taking messages and if required assisting clients by communicating and coordinating requests for services to the laboratory or directing calls to other relevant persons.
  • Receiving and assisting clients and visitors, informing the relevant officers of their arrival and directing them to appropriate places.
  • Copying and duplicating printed material, forms, and documents as required by the Laboratory Head, Analysts and Technicians.
  • Receipt of incoming samples for testing. Evaluation of sample integrity, quantity and cross-checking the database for accurate coding and instructions.
  • Liaises with senior technical staff for instructions to prepare samples for testing
  • Typing of test reports, conducting simple calculations on raw data, and dispatch of test reports.
  • Receiving of inward correspondences, files and other related documents from within and outside the Organization and distributing as appropriate.
  • Dispatching of documents from the office.
  • Maintaining a proper filing and recording system (both electronic and manual) to allow for easy retrieval of data when required; proper document control is in effect in accordance with ISO 9001.
  • Wear appropriate safety gear as the task requires
  • Keep workspaces in a neat and ordered manner
  • Capture all jobs in the appropriate log books or computerized database and update them daily.
  • Informing the laboratory Head and Senior Analysts of all new jobs.
  • Complete the attendance register by the third calendar day of each month.
  • Minutes of meetings and action items are sent out at least two days before the scheduled meeting.
  • Monitoring and replenishing stationery for the Branch.
  • Any such other responsibilities that relate to clerical duty.

 

Knowledge, Skills and Abilities:

  • Knowledge of office systems and procedures
  • Knowledge of word-processing software
  • Knowledge of the BSJ’s Acts Regulations, technical areas and expertise within the organization.
  • Knowledge of ISO 9001 and 17025
  • Knowledge of minute writing techniques
  • Knowledge of records management procedures
  • Knowledge of document preparation [letters, reports, memos]
  • Ability to multi-task and work on own initiative
  • Ability to write and proof-read a variety of office communication
  • Ability to meet tight deadlines
  • Ability to work on one’s own initiative and take charge of tasks to achieve established goals and objectives.
  • Secretarial/administrative skills would be an asset.
  • Excellent customer relations skills.
